Choosing the right timesheets template

Timesheets record who worked, on which days, and for how many hours, so payroll, clients and grant reports all rely on the same numbers. Hourly employees, contractors billing clients, and volunteers logging service hours each need a different layout: overtime for employees, project and task codes for contractors, and an organization's verification for volunteers.

PDFBetter timesheets are original fillable PDFs. Enter regular and overtime hours per day and the totals add up; enter a pay rate and gross pay calculates with overtime at 1.5 times the rate where the template includes it. Both the worker and the supervisor can sign, either in person in the editor or through Request signatures.

Timesheet templates: questions people ask

Does the timesheet calculate hours from start and end times?

No. Times like 8:30 are recorded for reference, and you enter the hours worked as a decimal (for example 7.5). The totals and pay are calculated from those decimal hours.

How is overtime calculated?

Templates with an overtime column multiply overtime hours by 1.5 times the regular rate. Overtime rules depend on federal and state law and your employment terms; confirm your obligations with a payroll professional.

Can a supervisor approve a timesheet online?

Yes. Fill and sign the timesheet, then use Request signatures to send it to the supervisor, who signs the approval block in the browser.

How long should timesheets be kept?

US employers must keep payroll records for at least three years and time cards for two under the Fair Labor Standards Act. State rules can be longer. This is not legal advice.
