What it does
Fill PDF from Excel, explained
To fill PDF forms from Excel, choose a fillable PDF (or one of your templates), upload a spreadsheet with one row per record, map each column to a field, preview a few rows, and generate; you get one filled PDF per row, named from the row's data, in a single ZIP. It is mail merge for PDF forms.

Typical runs: 40 certificates of completion with each attendee's name and date; offer letters for a hiring cohort; W-9 request packets for every vendor; inspection forms pre-filled with property addresses; shipping or labeling forms from an order export. Anything where the same form is completed many times from data you already have.
Mapping is by column header: you pick which column fills each field, so headers that match your field names make it quick. Radio groups take the option's export value; checkboxes take a clear true value such as TRUE or Yes. A file name pattern such as {Last name}-{First name}-certificate.pdf keeps the output organized ({row} inserts the row number, and duplicate names get a (2) suffix). Before the batch runs, you can step through rows in a preview to see exactly what each PDF will contain.
Rows that fail the form's own rules — a missing required value, an invalid email, an option that does not exist — are listed with the reason instead of silently producing a broken PDF. Runs of up to 50 rows are filled in your browser: free, no account, and neither the PDF nor the spreadsheet leaves your device. Larger runs are filled on PDFBetter's servers, split into ZIP files of up to 500 PDFs, need a free account and count toward your monthly spreadsheet fill rows (25 rows on Free, 500 on Pro and 5,000 on Business). To send each filled copy for signature instead of downloading it, Business plans include bulk send.
How to do it
Fill PDF forms from Excel in 5 steps
1A form
2Type into the fields
3A filled copy
- 1
Choose the form
Upload a fillable PDF or pick one of your templates. A PDF without fields needs fields first (Create fillable PDF).
- 2
Upload the spreadsheet
An .xlsx or .csv file with one header row and one row per record.
- 3
Map columns to fields
Choose a column for each field you want filled; unmapped fields stay empty.
- 4
Preview records
Step through rows to check placement, dates and checkboxes; set the file name pattern.
- 5
Generate and download
Run the batch and download the ZIP of PDFs, with a list of any rows that failed. Up to 50 rows are filled right in your browser.
Example
Before and after
A one-page fillable certificate of completion with fields for name, course and date, plus a CSV export of 38 workshop attendees.
Columns mapped (Full name → name, Course → course, Completed on → date), two rows previewed, and 38 certificates generated as {Full name}-certificate.pdf in one ZIP. One row with a blank name was reported instead of producing an empty certificate.
Settings & formats
What you can control
- Column mapping
- Which spreadsheet column fills which form field.
- File name pattern
- Build each file name from columns, e.g. {Company}-W9-request.pdf; {row} adds the row number.
- Flatten output
- On by default, so values are part of each page; turn it off to keep fields editable in every PDF.

Good to know before you start
- The spreadsheet needs a single header row. Merged cells, multiple header rows and data spread across several sheets should be cleaned up first.
- Excel formulas are not recalculated; the stored cell values are used. Check that dates come through in the format you want in the preview, and format date columns as text if they do not.
- The PDF must have fields. Text placed with Add text is not fillable from a spreadsheet.
- Runs of more than 50 rows are filled on PDFBetter's servers: they need a free account and count toward the monthly limit (25 rows on Free, 500 on Pro and 5,000 on Business).
If something goes wrong
If something goes wrong
- Dates appear as numbers like 46310.
- That is Excel's internal date number. Format the column as text in the desired date format, or export to CSV, and upload again.
- Checkboxes stay empty.
- Use a clear true value such as TRUE or Yes in that column and leave unchecked rows empty, then confirm in the preview before generating.
Fill PDF from Excel: questions people ask
Which spreadsheet formats work?
Excel .xlsx files and .csv files. Export Google Sheets or Numbers to one of these first.
Can I fill a PDF that has no form fields?
Not directly. Add fields with Create fillable PDF or Add text fields, then come back and map columns to them.
How do I name each output file?
Set a file name pattern using column names in braces, such as {Last name}-{Invoice number}.pdf.
What happens if a row has a problem?
That row is skipped and listed with the reason; all other rows are still generated.
Can I send each filled PDF for signature?
Bulk send to individual recipients is a Business feature. On other plans, download the PDFs and send signature requests individually.
How many rows can I fill?
Up to 50 rows per run, as often as you like, free and without an account: those runs happen in your browser. Larger runs are filled on our servers and count toward 25 rows on Free, 500 on Pro and 5,000 on Business a month.
