Choosing the right estimates & quotes template

Estimates and quotes are sent before the work starts. An estimate is an informed approximation that can change as the job is scoped; a quote is a fixed price for a defined scope, usually valid until a stated date. Contractors, agencies, repair shops and product sellers use them to win work and to set expectations that later become the invoice.

A good quote states exactly what is included, what is not, how long the price holds, and how the customer accepts it. PDFBetter's estimate and quote templates are original fillable PDFs with separate labor and materials tables where trades need them, automatic subtotals and tax, and a customer acceptance signature. Send one for signature straight from the editor.

Estimate and quote templates: questions people ask

What is the difference between an estimate and a quote?

An estimate is a best guess that can change once work begins. A quote is a fixed price for a stated scope that holds until its expiry date, unless the scope changes.

Is a signed quote a contract?

Often a signed quote is accepted as an agreement, but enforceability depends on its terms and your jurisdiction. For larger jobs, pair it with a service agreement. This is not legal advice.

How do I get the customer's acceptance?

Use Request signatures to send the quote. The customer signs the acceptance block in the browser and both of you receive the completed PDF.

Can I turn an accepted quote into an invoice?

Copy the line items into an invoice template with the same columns. Keeping the quote number on the invoice helps the client match the two.
