Put PDF signing, form filling, conversion and AI into every Zap

The short answer

To use PDFBetter in Zapier, open Settings → Integrations in PDFBetter, click Set up in Zapier, add a PDFBetter step to a Zap and click Allow and connect when PDFBetter asks. Your Zaps can then upload, merge, split, compress, convert and OCR PDFs, fill form fields, send documents for signature and download the signed copy, summarize a PDF, answer questions about it and extract data, and start when a document is fully signed or a workflow run finishes. Files from earlier steps go straight in, and the files PDFBetter produces are passed on as real files.

Connect in one click

There are no API keys to copy. Zapier signs in to your PDFBetter account through PDFBetter's own consent screen, and you can disconnect it at any time.

Open Integrations
In PDFBetter, go to Settings → Integrations and click Set up in Zapier. Zapier opens in a new tab.
Add a PDFBetter step
In the Zap editor, pick PDFBetter and an event, for example Document Fully Signed or Fill PDF Form.
Allow and connect
Sign in to PDFBetter when Zapier asks, read what Zapier will be able to do, and click Allow and connect. The connection is reused by every PDFBetter step.

Triggers

Document Fully Signed: starts a Zap the moment the last person signs. The signed PDF is ready for Download Signed PDF in the next step.

Workflow Run Finished: starts a Zap when one of your PDFBetter workflow recipes finishes on a document.

Both are instant: PDFBetter notifies Zapier when the event happens, instead of Zapier checking every few minutes.

Actions and searches

Documents: Upload PDF, Fill PDF Form, Download PDF, and the searches Find Documents and Get Form Fields. Fill PDF Form shows one input per form field once you choose the document, so you can map values field by field.

Pages and files: Merge PDFs, Split PDF, Compress PDF, Convert PDF (to Word, Excel, PowerPoint, CSV, text or images, and Office files to PDF) and Make PDF Searchable (OCR).

Signatures: Send PDF for Signature emails your signers and uses the document's signature fields, or adds a signature and date line for each signer. Get Signature Request reports each recipient's status, and Download Signed PDF returns the signed copy or its audit certificate.

AI: Summarize PDF, Ask a Question About a PDF (answers quote the page they come from) and Extract Data From PDF (fields such as invoice number, total and due date, each with its page; missing values are never guessed).

Zaps people build first

Contract signed → save it: Document Fully Signed → Download Signed PDF → upload the file to Google Drive, Dropbox or OneDrive and post a note in Slack.

Form to signature: a new Typeform, Jotform or Google Forms response → Fill PDF Form on your agreement template → Send PDF for Signature to the person who submitted it.

Invoice inbox to spreadsheet: a Gmail attachment → Extract Data From PDF → add a row to Google Sheets or Airtable with the invoice number, total and due date.

Shrink and share: a new file in a cloud folder → Compress PDF → attach the smaller file to an email.

Files and long jobs

Every step that works on a document accepts one already in PDFBetter or a file from an earlier step, such as an email attachment or a form upload. PDFBetter imports it for that step, so one step is enough.

Conversion, compression and OCR run in the background. Zapier waits for PDFBetter to report back when the job ends, so the next step receives the finished file.

Pricing

Zapier works on every PDFBetter account plan, including Free. Each PDFBetter step that runs counts as one agent & automation run; failed steps and triggers don't count.

Agent & automation runs per month: 200 on Free, 5,000 on Pro, unlimited (fair use) on Business.

The work a step does uses the same allowances as doing it in the app: downloads, conversions, OCR pages, AI credits and signature requests. Your Zapier plan's task limits apply on Zapier's side as usual.

What it doesn't do

Until PDFBetter appears in Zapier's public app directory, start from Settings → Integrations, which links to the app.
The Zapier app offers two triggers, Document Fully Signed and Workflow Run Finished. To start a Zap when a single recipient signs or a form is submitted, use Make or a Business webhook.
Automations fill fields, rearrange pages, convert and run AI. Editing page text or images and applying redaction are done in the editor.
Download links in a step's output expire after about 10 minutes. Pass the file on in the same Zap run instead of storing the link.
AI steps read the document's text layer. Scanned pages need Make PDF Searchable (OCR) first.

PDFBetter for Zapier: questions people ask

Do I need a paid PDFBetter plan to use Zapier?

No. Any PDFBetter account can connect Zapier, and each plan includes a monthly number of agent & automation runs. Guests need to create a free account first.

Which PDFBetter account do my Zaps use?

The account you were signed in to when you clicked Allow and connect. If the consent screen shows the wrong account, click Use another account before allowing. Teammates connect their own accounts.

Can a Zap use a file from Gmail, Google Drive or a form?

Yes. Map the file from the earlier step into the PDFBetter step's file field. PDFBetter imports it for that step; Word, Excel and PowerPoint files can be turned into PDFs with Convert PDF.

Does Send PDF for Signature send real emails?

Yes. Signers get a signing email from PDFBetter, exactly as when you send from the app, and the request counts toward your plan's signature requests. Test with your own email address first.

How do I disconnect Zapier?

In Settings → Integrations, under Connected apps, click Disconnect next to Zapier. Zapier loses access right away and its triggers are removed.

What happens to a Zap when a PDFBetter step fails?

Zapier shows PDFBetter's error message on the step, for example a field name that doesn't exist or a file that isn't a PDF, and the run doesn't count toward your PDFBetter runs.
