Choosing the right receipts template

A receipt is proof that money changed hands. Landlords use them for cash rent, nonprofits for donor acknowledgments, small shops for in-person sales, and contractors for deposits taken before work starts. A useful receipt names both parties, shows the amount in numbers, records the payment method and date, says what the payment was for, and is signed or initialed by the person who received the money.

PDFBetter receipts are original fillable PDFs sized for one transaction. Sales receipts add line items and sales tax that calculate on their own; rent and deposit receipts include the period or the conditions that matter later in a dispute. Open one in the editor without an account, fill it, sign it, and email or print it.

Receipt templates: questions people ask

What makes a receipt valid?

There is no single legal format. A receipt is most useful when it identifies payer and payee, the amount, date, payment method and purpose, and carries the receiver's signature. Keep a copy for your own records.

Should receipts be numbered?

Yes. A unique receipt number makes it easy to match the receipt to your bank deposit or ledger and to spot a missing or duplicate receipt.

Can I sign a receipt electronically?

Yes. Use Sign PDF to add your signature in the editor, or Request signatures if the payer also needs to sign.

Do donation receipts meet IRS requirements?

The donation receipt includes the statement about goods or services provided that the IRS asks charities to give donors for gifts of $250 or more. Check IRS Publication 1771 for the full rules; this is not tax advice.
