How to compress a PDF online without losing quality

By the PDFBetter teamPublished 5 min read

Short answer

To compress a PDF online without visible quality loss, upload it to a PDF compressor, start at the middle level and zoom into the smallest text before you download. Text, form fields and links are not touched by compression; only images inside the file are recompressed, so scans and photo-heavy PDFs shrink the most.

What does compressing a PDF actually change?

A PDF is a container. Inside it are fonts, vector drawings, form fields, links and images. Fonts and vectors are already compact; images are where the megabytes live. A 30-page scan is 30 photographs of paper, and a brochure exported for print can carry images at three or four times the resolution any screen will show.

That is why a good compressor works on images and leaves everything else alone. In PDFBetter, real text is drawn from fonts, so it stays exactly as sharp as before at any level. Fillable fields keep their values, links still work and bookmarks stay where they were. What changes is how each embedded picture is stored, and at the stronger levels, how many pixels it keeps.

It also explains the one surprise people run into: a PDF exported from Word with only text and a couple of charts barely shrinks. There is little to recompress. If that's your file and it is still too big, the fix is usually removing pages, not compressing harder.

Which compression level should you pick?

PDFBetter offers three levels. The lightest re-encodes images and keeps their resolution. The middle and strongest levels also lower image resolution, which is where the big savings come from and where fine print on a scan can start to soften. Match the level to what is in the file:

Starting level by document type
What's in the PDFStart withWhy
Phone photos of receipts or IDs saved as PDFStrongestPhotos are far larger than they need to be on screen
Scanned contract or application with small printMiddleBig savings, and signatures and footnotes usually stay readable
Scan you will print or file with a courtLightestKeeps full resolution so small text prints crisply
Brochure or slide deck with imagesMiddleImages shrink a lot, vector text and logos are untouched
Text-only report exported from WordLightestFew images; check whether removing pages helps more

You never get a bigger file back

Recompressing an image that is already efficient can make it larger. PDFBetter compares the result with your upload and keeps whichever is smaller, so trying a level costs you nothing but a few seconds.

Compress a PDF online, step by step

  1. 1

    Open Compress PDF

Drop your file onto the page. Files up to 10 MB work without an account or on a free account, and up to 50 MB on Starter. Unlock a password-protected PDF first.

  2. 2

    Pick a level

Use the table above. When in doubt, start with the middle level; you can run it again at another level.

  3. 3

    Compare the sizes

The result shows the original and the new size side by side, so you can see the savings before downloading.

  4. 4

    Zoom in before you accept

Open the preview and zoom into the smallest text, a signature and any photo you care about. If something looks soft, go one level lighter.

  5. 5

    Download

Download the smaller PDF. If it's still too big for your upload limit, see the next section.

How do you know the quality held up?

Quality loss shows up in predictable places, so check those instead of scrolling through every page:

  • The smallest text on a scanned page: footnotes, fine print, form labels. Zoom to 150%.
  • Thin lines: handwritten signatures, table borders and stamps lose detail first.
  • Photos with text in them: an ID card or a receipt, where the numbers must stay readable.
  • Print, if it matters: if the file is going to a printer or a court, print one page at full size.

Typed text in a digital PDF never blurs, because it isn't a picture. If a page looks blurry at every level, it was a scan or an image to begin with. Running OCR PDF adds a searchable text layer to scans, though the page image itself stays as it is.

What if the PDF is still too large?

Compression has a floor: once images are lean, there is nothing left to squeeze. When a portal still rejects the file, change what is in it rather than how it is stored.

  • Drop pages you don't need with Remove pages: blank scans, duplicate pages, cover sheets.
  • Split it with Split PDF when the limit is per file, and upload the parts separately.
  • Send a link instead with Share PDF when the limit is an email attachment cap.
  • Rescan at a lower resolution if you control the scanner: 200–300 dpi is plenty for documents.

Is it safe to compress a PDF online?

Compression runs in PDFBetter's processing service, which receives the file, recompresses its images and returns the result. Files uploaded only to run a tool are deleted after 24 hours. If a file must not leave your computer, use the browser-only light mode: it restructures the PDF on your device without recompressing images, so the savings are smaller but nothing is uploaded.

Two things to do in the right order. Compress before you password-protect, because compression needs an unlocked file. And compress before anyone applies a certificate-based digital signature, since changing the file's bytes afterwards invalidates it.

Try Compress PDF on your own file.

No account needed to start, and tools that run in your browser never upload your file. Keep going on the free plan, or pick a plan when you need more.

Questions people ask

Can I compress a PDF online for free?

Yes. You can compress without an account, and a free account includes 10 compression or Office conversion runs a month. Pro raises that to 500.

Does compressing a PDF reduce text quality?

No. Typed text is drawn from fonts, not pixels, so it stays sharp. Only images are recompressed, which affects text that is part of an image, as in a scan.

Will my form fields still work after compression?

Yes. Fillable fields, the values typed into them, links and bookmarks are left as they were.

Why did my PDF barely shrink?

It probably contains few images, or its images are already compressed. Removing pages or splitting the file are the next options.

What is the best compression level for a scanned document?

Start with the middle level and zoom into the smallest text. Choose the lightest level if the document will be printed or filed where fine print matters.

Can I compress a password-protected PDF?

Unlock it first with Unlock PDF, compress it, then protect it again with Protect PDF so the final file stays encrypted.
