What it does

Insert table in PDF, explained

To insert a table into a PDF, drag out a rectangle with the table tool, choose the number of rows and columns, then type into each cell; borders, a shaded header row and column widths are adjustable. PDFBetter opens with the table tool active so you can draw immediately.

Tables are useful for adding structured information to an existing document: a price list on a quote, a delivery schedule on a letter, a parts list on an inspection report, a sign-in grid on a blank page. They are drawn as normal page content, so they print exactly as shown.

A PDF table is a layout object, not a spreadsheet. Cells hold text but no formulas, and the table does not grow onto a new page when it fills up. If you need totals that calculate as numbers change, build the document as a fillable form with number and formula fields (Form builder). If the data already lives in Excel, Excel to PDF keeps the sheet's formatting with less effort.

Every table uses one text style (font, size, color, alignment) for its cells, which keeps it tidy; set a header fill color to make the first row stand out.

Example

Before and after

Before

A one-page cover letter for a landscaping quote with a blank area halfway down where the itemized services should go.

After

A 4-column, 6-row table (Service, Frequency, Unit price, Monthly) with a light green header row, 0.5 pt gray borders and right-aligned price columns.

Settings & formats

What you can control

Rows and columns
Any grid size that fits the area you drew.
Column widths and row heights
Drag the dividers; widths are kept as proportions of the table so resizing the table keeps the layout.
Borders
Border color and thickness, or a thin light border for a subtle grid.
Header fill
Background color for the first row.
Text style
Font family, size, color and left/center/right alignment for all cells.

Good to know before you start

  • No formulas or automatic totals; type calculated values yourself or use formula fields in a fillable form.
  • A table does not split across pages. For long lists, draw a second table on the next page.
  • All cells share one font, size and alignment; you cannot bold a single cell or merge cells.
  • Long cell text is clipped to the cell; widen the column or reduce the font size.

Insert table in PDF: questions people ask

Can I paste data from Excel into the table?

Type or paste cell by cell. For large sheets, Excel to PDF is faster and keeps the spreadsheet's formatting.

Can I edit a table that was already in the PDF?

Existing tables are just text and lines. Change their text with Edit PDF; this tool adds new tables.

Can the cells be fillable by someone else?

Not as a table. Place text or number fields over a drawn table with Add text fields, or build the whole form in Form builder.

Can I make a table without borders?

Yes. Set the border width to zero to align text in columns without visible lines.

Will the table look the same in other PDF readers?

Yes. It is drawn as lines and text in the page content, so it renders the same everywhere.
