What it does

Excel to PDF, explained

Excel to PDF converts a workbook (XLSX or XLS) or a CSV file into a PDF for sharing, printing or attaching to a report. Unlike a Word document, a spreadsheet has no fixed pages, so the settings below decide where page edges fall.

Pick which sheets to include; hidden sheets are skipped. If a sheet has a print area defined in Excel, only that range is converted, along with the page breaks, headers and footers set in Page Layout. Without a print area, the used range of the sheet is converted.

The most common problem is a wide sheet split across several pages, with the last columns on a page of their own. “Fit all columns on one page” scales each sheet so its full width fits one page, and landscape orientation gives wide sheets more room. The preview shows page count and breaks before you download.

Conversion uses LibreOffice on our processing servers and shows formula results as last saved in the file. Without an account you can run 2 conversions; the Free plan includes 10 a month.

Good to know before you start

  • Formulas are not recalculated; the PDF shows the values last saved in the file. Open and save in Excel first if they depend on today's date or external data.
  • Fitting a very wide sheet to one page width can make text too small to read. Consider selecting fewer columns as a print area in Excel.
  • CSV files are read as comma-separated UTF-8. Semicolon-separated files should be opened and saved as XLSX first.
  • Cell comments, data validation drop-downs and slicer interactivity do not carry over; the PDF is a static printout.
  • Workbooks that need a password to open cannot be converted.
If something goes wrong
The last columns are on separate pages
Turn on “Fit all columns on one page” and use landscape.
Only part of my sheet was converted
The sheet has a print area set. Clear it in Excel (Page Layout > Print Area > Clear) or redefine it, then convert again.
Values show as ##### in the PDF
The column is too narrow for its number. Widen the column in Excel, save, and convert again.

Excel to PDF: questions people ask

Can I convert only one sheet?

Yes. Select just that sheet before converting.

Does it respect print areas and page breaks?

Yes. Print areas, manual page breaks, headers, footers and repeated title rows set in Excel are used.

Are gridlines printed?

Only if “Print gridlines” is turned on in the sheet's page setup, the same as printing from Excel.

Will charts be included?

Yes. Charts placed on a sheet are included where they sit; chart sheets become their own pages.

Can I convert a CSV file?

Yes. It is treated as one sheet. Use “Fit all columns” if it has many columns.

Do I need an account?

You can run 2 conversions without an account. The Free plan includes 10 conversions a month.
